Bulk vs. Single Forms

There are two types of AssetTrack forms: Single and Bulk:

  • Single forms let you view and update a single asset at a time.
  • Bulk forms let you update many assets at once

Single Forms

Single forms are best for tasks where you need to scan an asset tag, view information about an asset, then update a few fields for that asset.

Bulk Forms

Bulk forms are best for updating a bunch of assets at once, such as moving multiple assets to a new location.  When you enter data into a bulk form, every asset that is checked in your asset list will be updated with the values you enter.

Mobile Forms

AssetTrack Mobile forms are unique to other forms in that they support advanced barcode scanning. This includes support for AssetTrack scan sheets, scanning manufacturer barcode labels as well as customized location barcodes. AssetTrack Mobile forms are the ones to use when doing high-volume scanning at the receiving dock or during baseline inventories, as the devices have the most barcode capabilities of any of the three options.

There are three kinds of AssetTrack Mobile forms:

  1. Bulk forms - Forms which let you capture multiple assets at once. Bulk forms are great for collecting data, whether you are creating asset records at the receiving dock, or updating the location and status of a collection of assets.
  2. Lookup-Enabled Bulk forms - Bulk forms that have the "Perform Lookup" feature turned on check to ensure that assets exist when scanned by searching the database by asset tag or serial number on each scan. When Lookup Bulk Forms cannot find a matching asset record, the device emits a loud beep sound and the device presents the new asset form. Lookup forms should be used in activities where you need to update only certain fields for assets which you expect to already be in the database, like a Move or Status Update process.
  3. Single forms - Single forms allow you lookup and edit a single asset. Single forms allow you to scan a tag and review all information about a single asset. You can also make changes to that asset and upload those changes to the server, just like Bulk forms.

Web Forms

In addition to using mobile devices with barcode scanners to perform tasks like receiving and inventories, you can also perform these tasks using a web browser. Just like AssetTrack Mobile forms, you can create as many web-based forms as you need, customizing them with the fields and forms required to perform your tasks. 

Web Forms are ideal for:

  • Remote or home users
  • Sites where there are only a few assets
  • Employee self audits
  • Web-based IMAC reporting

Sometimes it doesn't make sense to deploy an expensive mobile scanner to an office with 20 assets, or to home users with only a laptop and monitor. Web Forms can be created for these remote users. The data collected via a web form enters the queue just like data collected by a mobile device, so you have the same level of control over the incoming data.

Upload Forms

AssetTrack upload forms enable users to upload spreadsheets of asset data for processing by asset management.  Data submitted via upload spreadsheets is validated by asset managers before being submitted to the ITAM or CMDB repository. Spreadsheet upload forms are ideal for uploading baseline inventory data, ASN files, disposal spreadsheets or other processes where users or systems create large sets of asset data that need to be imported into your repository. 

Procurement Forms

PO forms are different from standard asset forms, both in their user interface and how they're designed. The basic user workflow for a PO form is:

  1. User looks up a Purchase Order
  2. AssetTrack presents the PO along with all of its line items
  3. User clicks on a line item to begin receiving items for that line
  4. AssetTrack presents the appropriate PO Line Item form (either an asset form or a consumable form).
  5. User collects data against the specified PO Line Item
  6. User uploads this data to AssetTrack Server.

Audit Forms

Audit forms can be made to make the audit process much easier.  You can make Audit forms using the form designer and upload them to your mobile devices. This form will only load the assets that you are expecting at a certain location.  From there you scan against that form of expected assets at that location. It will differentiate the expected and unexpected assets in that location.
